Order for bonuses - a document that is issued by the management of the enterprise if it is necessary to encourage subordinates. The reason for issuing an order can be a variety of reasons: overfulfillment of the plan and production standards, high labor results, quality of work performed, etc.

An important clarification: bonuses do not at all mean rewarding an excelling employee or group of employees with only monetary amounts. The award can be a written gratitude from the management, a diploma or some other type of material incentive.

It is difficult to overestimate the role of bonuses: this form of recognition of the merits of employees to the organization is a powerful incentive for their further fruitful and efficient work.

Bonus system at enterprises

In many organizations, the provision on bonuses is contained in the collective agreement or other separate regulations. They prescribe the reasons, conditions, form, size and procedure for issuing bonuses. If there is no such document in the internal policy of the enterprise, then bonuses can occur on an individual basis, on the basis of a simple written order of the director.

Basis for issuing an order

Any order issued by the management of the organization must always have a documentary basis. In this case, it is usually a presentation or a memorandum from the head structural unit, which indicates the employee or group of employees who have achieved in their professional activity certain success.

Who is preparing the document

As a rule, the execution of such orders is the competence of a legal adviser, a specialist personnel department, the head of the structural unit or, in extreme cases, the secretary of the enterprise. And regardless of who is filling out the document, it must be submitted for approval to the director of the organization.

Basic rules for ordering

As today's law says, a bonus order can be issued in a free form. Nevertheless, many enterprises and organizations, as before, actively use the previously approved and generally applicable

  • form T-11(if one employee is nominated for bonus)
  • or form T-11a(if a group of employees is supposed to be rewarded).

Both of these forms are quite similar both in structure and content.

The adherence to the "old" forms is quite understandable: they include all the necessary data, including information about the employer and the employees being awarded, information about the reason for the bonus and the award itself, etc.

The order can be issued in two versions: both in writing, by hand, and in printed form. But no matter which one is chosen, it must always contain the original signature of the head and the signatures of the employees being awarded.

A document is being drawn up in a single copy, which serves as the basis for further action in relation to awarded employees.

After placing an order in without fail will be registered in the internal register of documents, then transferred first to the accounting department, and then for storage in the company's archive.

An example of filling out an order T-11

Standard forms T-11 or T-11a are quite simple and understandable, so they should not cause any difficulties when filling out.

In the first part of the T-11 document, which was developed for the bonus of one employee, to begin with, the full name of the company, the OKPO code (in accordance with the registration papers), as well as the number of the order for internal document flow and the date of compilation are indicated.

Then, the last name, first name, patronymic of the employee, his personnel number (if such records are maintained at the enterprise), the name of the position and the structural unit (section, workshop, brigade) in which the applicant for the award works.

In the second part of the order, the motive must be indicated, i.e. the reason that served as the reason for the award, then its type, and if it is a sum of money, then its exact amount (in words and numbers).

In line " Base»A specific document is written on the basis of which the bonus is awarded (its date and number, if one was assigned).

In conclusion, the order is signed by the head of the organization, dated, and then transferred for review and signature to the awarded employee.

An example of filling out an order T-11a

This order form is filled out when a group of employees is supposed to be rewarded.

The first part of the T-11a form almost exactly repeats the content of the T-11 form and is also filled in the same way. The difference lies in the fact that the full name and the department in which a particular employee works are not indicated here, but instead the incentive motive and its type are written.

In the second part of the document, first there is a table in which the full name of each bonus employee, his personnel number, as well as the structural unit to which he belongs are entered in order (it should be noted that employees may belong to different departments of the enterprise). Then the position of the employees and the amount of the bonus due to each of them are indicated (the size of the bonus may differ).

Further in the line below again enters base, with reference to the date and number of the document, as well as the signature of the head. After the order is approved by the director, it is transmitted for review to each employee who must put his signature in the appropriate table, opposite his last name.

A bonus order is an administrative document about the decision of the employer to financially encourage one or more employees. The article contains forms and samples of orders, as well as free reference books and useful links.

An order for the payment of a bonus is an administrative document of the employer, which formalizes the decision to encourage or stimulate one or more employees. Depending on the reason on the basis of which the decision is made to allocate funds to an employee, the payment may be of an industrial or non-productive nature.

The difference is that the accrual of a production nature is directly related to the results of the work of the employee and performs an encouraging or stimulating function. Whereas the accrual of a non-productive nature is not based on production results and may have any basis. The employer has the right to issue a non-production amount at any time and in any amount to arbitrarily selected employees - one, several or even all. The reason for the payment may be an important personal date, a national or regional holiday, etc.

Bonus payments can be productive or non-productive.

In any case, the decision of the employer on the accrual and issuance of monetary amounts to employees is drawn up by an order for a bonus. Further in the article - forms and samples of the order for the payment of bonuses, as well as the rules for material incentives for employees.

Other payroll guides

After reviewing the order for the payment of the bonus, do not forget to look at the following directories, they will help calculate the salary:

Types of order for the payment of bonuses

The order for the payment of the bonus is issued in relation to two groups of material accruals.

  1. Production bonuses.
  2. Non-production bonus payments.

Production bonuses as an incentive

Prizes are considered integral part remuneration, along with remuneration for work and compensation for special working conditions. The meaning of the production bonus payment as part of wages is to:

    note the production results of one or more employees;

    to encourage their efforts to work efficiently and do everything on time;

    encourage them to work more efficiently and more intensively in the future.

Thus, bonus accruals of a production nature, in respect of which an order is issued to pay a bonus, are always associated with the results of the employee’s work, including:

    the amount of work done;

    its complexity;

    the quality of work performance;

    the level of professionalism and qualifications of the employee, etc.

Performance bonuses are part of wages.

Payroll - online

The order for a bonus based on the results of work determines the amount to be accrued to the employee, which must first be calculated according to the rules established by the relevant employer. In addition, the bonus amount is reflected in other personnel documents, including payroll, as well as in personal income tax reporting and mandatory insurance contributions. And if the number of bonuses and the amount of incentive accruals change from month to month, then it may take more time to calculate salaries. To simplify the work, it is more convenient to calculate the salary automatically - in the BukhSoft program.

It is convenient to keep records of salaries and personnel in the BukhSoft program. It is suitable for IP, LLC, budget institutions, NGOs, banks, insurance organizations, etc. The program includes full personnel records, time sheets, payroll for any system, sick and vacation pay calculators, uploading transactions to 1C, automatic generation of all reporting (FSS, 2-NDFL, RSV, accounting, etc.) and much more.

Production bonus as a sanction

Performance bonuses can also be used to blame poor performance. The employer can take the following steps.

  1. Decrease in premium.
  2. Not issuing it at all.

To do this, the employer must:

  • make a significant share of the incentive payment in the total amount of wages;
  • reduce or nullify the amount of the bonus payment for the period in which the employee did not fulfill the conditions for the promotion.

The following violations can be attributed to non-fulfillment of bonus conditions.

  1. Poor production results.
  2. Insufficient production results.
  3. The performance of their duties is poor quality.
  4. Deadline violation.
  5. Violations of labor discipline.
  6. Failure to comply with safety rules at work.
  7. Failure to comply with management orders, etc.

Application form for performance bonus

For the decision of the employer to encourage one or more employees for labor success, standard forms of the order for a bonus based on the results of work from the resolution of the State Statistics Committee of 01/05/2004 No. 1 are intended:

  1. Model form in form No. T-11, if one person is encouraged.
  2. Standard form No. T-11a, if several employees are rewarded at once.

The current sample of filling out an order for a bonus based on the results of work on a standard form No. T-11a is given below, it can be downloaded from the link:

The form of the award order at the end of the year

It is possible to encourage an employee and issue an order to accrue a bonus on this basis for various periods, for example:

  1. Monthly.
  2. quarterly.
  3. Annually.
  4. Out of plan.

If bonuses are dependent on annual performance labor activity, then the decision on the accrual of bonus amounts is formalized by the order of the bonus at the end of the year. When compiling this document in any form, it is recommended to include in it all the required details of the "primary", including:

  1. The name of the form.
  2. Date of issue of the award order at the end of the year.
  3. The name of the employer.
  4. Formulation of award decision.
  5. The amount of accruals for each employee.
  6. Signature of the head with decryption.

  1. The employee responsible for the execution of the administrative document.
  2. Deadlines for the execution of the award order at the end of the year.
  3. Signatures of the awarded persons confirming their familiarization with this decision.
  4. Documented the basis for issuing an award order at the end of the year.

Amounts in the order for a bonus based on the results of work

Although bonus payments of a production nature are indicated in Labor Code as part of the salary, however, there is no direct answer in the legislation to the question of how much to put down in the order for a bonus based on the results of work. Indeed, an incentive or incentive amount should directly depend on the labor and production results of its recipients. However, legislation leaves the specific calculation algorithm at the mercy of the employer.

The employer determines the bonus system independently.

The rules for incentives for the production results of work, as a rule, are fixed in a special local document - the Regulations on Bonuses. According to these rules, amounts are calculated, which are then put down in the order for a bonus based on the results of work.

Regulations on bonuses

United standard form labor legislation does not define a local document of the employer on bonus payments to employees. Each employer, when deciding to create and implement a bonus system, can fix it in a local document with arbitrary wording. Most often, this is done by the Regulation on bonuses.

The regulation on bonuses is a local document of the employer, mandatory for employees.

Rules for bonuses for production results

A correctly drawn up Regulation on bonuses determines the following points.

  1. Current premium rates.

Most often, the main indicator confirming the existence of grounds for stimulating and encouraging employees is the financial result of the employer's activities for the corresponding period.

  1. Incentive amounts.

As a rule, the amounts in the order for a performance-based bonus are calculated as a certain percentage of the employee's salary.

  1. Additional indicators.
  2. Reward procedure.
The procedure for bonuses determines the frequency of incentive accruals, the timing of their issuance to employees and the documentation of such operations.
  1. Sanction conditions for bonuses.

Additional premium indicators

You can encourage employees for different reasons for different periods. At the same time, additional bonus indicators can be:

  1. No errors.
  2. Compliance with all deadlines.
  3. No claims.
  4. Absence of cases of violation of labor discipline.
  5. Plan overfulfilment.
  6. Positive certification result.

Award Forms

Depending on the decision and capabilities of the employer, bonus accruals can be issued:

    in the form of money;

    in property form, including products or goods of the employer.

Sample Regulations on bonuses

An up-to-date and legally correct sample of the Bonus Regulations is given below. It can be downloaded from the link and used as a local document, if necessary, modified in accordance with the features of the incentive system used:

Order on the bonus to the employee for the holiday for the length of service

According to the incentive indicators mentioned in the local document of the employer, the employer can make a decision and issue an order for a bonus to an employee one-time, outside the monthly, quarterly or annual plan. It is permissible to encourage employees in this way for the following reasons.

  1. For long professional experience.
  2. For long-term employment in one place of work.
  3. For success in work.
  4. For "labor exploits", that is, certain significant achievements of the employee.
To give out such an encouragement, the manager can time the order for the bonus to the employee by a certain date - for example, the anniversary of a distinguished employee. The current sample of the order on the bonus to the employee for the length of service, accrued one-time, is given below, it can be downloaded from the link:

Director's award letter

Unlike ordinary employees, the results of the work of the director of the company and the compliance of his work with bonus indicators are assessed by the owners of the business, by the decision of which the head is authorized to manage the activities of the organization in full. Accordingly, the decision of business owners to financially reward the director for achieving bonus indicators is drawn up in a special manner - a special protocol, similar to the order for awarding bonuses.

An up-to-date and legally correct sample of a protocol, similar to a regular order for awarding a bonus, is given below and is available for download at the link:

Non-production bonuses

Unlike incentives of a production nature, non-productive bonus amounts are not considered part of the remuneration, and therefore cannot be associated with labor, production results of work. An order for the payment of a non-production bonus can be issued in relation to accrual timed to:

  1. To an important personal date of a particular employee.
  2. For a professional or industry holiday.
  3. For a public holiday:
  • nationwide scale;
  • regional scale.

The employer chooses the grounds for non-production bonuses independently.

Like any other part of remuneration, bonus accruals form the employee's income subject to personal income tax. In addition, if incentives are awarded by virtue of having labor relations, they are subject to mandatory insurance premiums.

The payment of additional remuneration is an internal affair of each employer. The organization has the right to independently determine the frequency, reasons and amounts of bonus payments to employees. Common reasons for awards are:

  • significant dates for an employee or the entire company: birthday, anniversary of the organization, professional holiday;
  • national holidays, for example New Year, March 8;
  • merits in labor: an employee is encouraged, for example, if he exceeded the production rate, achieved production optimization, reduced rejection rates, initiated useful transformations for production, reduced production costs without loss of quality.

Rewards can be regular (monthly, quarterly, annual) or one-time. It is permissible to reward only one or several employees at the same time.

How the award is issued

The procedure for bonuses is established by an internal act of the organization - the regulation on bonuses. It establishes cases and indicators upon achievement of which employees are entitled to incentive payments. The provision also prescribes the need for a monthly incentive surcharge, often it is set as a percentage of the salary.

The presence of a bonus provision is especially important for budget organizations who pay additional rewards from the payroll allocated from the budget. The regulation on bonuses to budgetary institutions is developed on the basis of departmental acts of the system in which the institution is located.

For the payment of each individual remuneration, a special order on bonuses is issued.

What form to use for the order

Decree of the State Statistics Committee of the Russian Federation dated 05.01.2004 No. 1 approved unified forms of many internal acts necessary in the economic work of the organization. Among them are forms No. T-11 and T-11a for bonuses to employees.

Since 2013, these forms have ceased to be mandatory. The organization has the right not to use the proposed forms, but to issue acts on additional incentives in a free form or develop its own templates.

How to make an order

Sample letter for award Good work or any other achievement must contain the following information:

  • the name of the organization in which it was published;
  • details: number and date;
  • FULL NAME. the employee or employees who are rewarded, their personnel numbers, positions and structural divisions;
  • incentive motive - the reason for which the bonus is paid;
  • type of promotion: you must specify "award";
  • reward amount: in words and numbers;
  • grounds, for example, a memo from the head of the employee being awarded;
  • position and signature of the head of the organization.

If a financial reward is issued in connection with success in work, the wording of the incentive motive in the order for the award may be as follows:

  • for significant indicators of the intensity of labor activity;
  • per high level quality of work;
  • for achieving planned targets.

Monthly bonus order

In addition to one-time rewards, the employer has the right to issue an order for periodic bonuses. With this document, he indicates a certain frequency of payment, for example, to prescribe that additional remuneration is paid along with salary monthly in the amount of a certain percentage of wages.

Order of the thirteenth salary

A separate type of bonus is the 13th salary. At its core, this is a one-time payment dedicated to the end of the year and marks its results. The concept of "13-salary" is not legal and is accepted only in everyday life.

How much and how to store

Bonus orders are a type of documents on personnel and are subject to storage for seventy-five years, as established by paragraph 19 of the List approved by Order of the Ministry of Culture of Russia dated August 25, 2010 No. 558.

To store any documents, the company must form files. Cases are included in the general nomenclature of affairs of the organization. Volumes are recommended to be formed from documents with equal retention periods.

When to issue a bonus order

Each enterprise has the right to develop a bonus system independently, it is fixed in local act, for example, in the Regulations on bonuses. With the established bonus system, the employer is obliged to comply with the fixed procedure for the payment of incentives. If this is not done, he may be held administratively liable.

The award order refers to the administrative document on the basis of which payments will be made. Before issuing such an order, you must:

  • create lists for departments of the organization;
  • check compliance with all conditions of bonuses;
  • agree and clarify the amount of bonus payments with the head of the unit for each employee from the list presented;
  • submit an order on bonuses in the final version for signature to the head of the organization.

The expert of "System Kadra" will tell, how to apply for employee bonuses . From the article you will learn how to establish a bonus system, how to document, agree and approve the Regulation.

Is it necessary to draw up an order on bonuses for an employee on a monthly basis if bonuses are provided for by an employment contract

If a unified form No. T-11 is used for an order for a bonus, it must be drawn up monthly. This is due to the fact that in the first section of the instructions, which were approved by the Decree of the State Statistics Committee of Russia dated January 5, 2004 under No. 1, when filling out the form, there are no transfers of those types of bonuses, upon payment of which this order form is drawn up. Accordingly, an order for bonuses to employees is issued for any incentive and incentive payments.

It must be taken into account that according to this issue there is another point of view. An order in the form No. T-11 (or No. T-11a) should be drawn up only for the payment of one-time bonuses for high performance indicators. This interpretation of the issue is due to the fact that the instructions for filling out the relevant forms of orders say that the document is used to process incentive payments for success in work.

Form No. T-11a. Employee incentive order

Monthly payments are stimulating. They are not incentives, they are part of the remuneration system and are issued on a regular basis. With a literal interpretation of the instructions, it can be concluded that it is not necessary to draw up an order in a unified form with monthly incentive payments. At present, instead of forms No. T-11 and No. T-11a, it is possible to use forms according to independently developed samples. Each organization has the right to determine not only the form of orders, but also the procedure for issuing them, fixing established rules in local regulations. This is indicated by the provision of Article 8 of the Labor Code of the Russian Federation.

Varieties of orders for bonuses to employees

A sample order for a bonus to employees is distinguished by the following indicators:

  1. According to the amount of information entered

If a group of employees is rewarded, all members of the team who are encouraged are made available. When rewarding a single employee for certain merits, his details and grounds for bonuses are entered into the document.

  1. According to the frequency of registration

Planning orders are issued regularly in accordance with the frequency of bonuses: monthly, quarterly, annual. Unscheduled are prepared by order of the head of the organization.

  1. Based on

Holiday orders are issued when incentives are issued for certain professional holidays, anniversaries, and so on. Production orders are, if necessary, to reward one or a group of workers for high production figures for making rationalization proposals. With the active participation of employees in the life of the team, for the achievement of certain indicators in social events, sports competitions, and so on, high organizational achievements serve as the basis for issuing an order.

An order to encourage an employee or a group of employees has different grounds and frequency of publication, differs in wording, but is drawn up in accordance with the generally accepted structure.

Employee incentive order: sample completed

The bonus order (sample) can be issued both on a unified form of the T-11 or T-11a form, and in an arbitrary form, where the necessary details must be entered.

The structure of the order includes a heading with the name of the employer, number and date, and subject. The main section should include a wording on the direct order of the head to reward an employee or group of employees. Be sure to include the reasons that gave rise to the promotion and the amount of bonuses. The final part is signed by the head and employees.

When creating an order, general wording should be avoided, for example: Awarded for good work". It is rational to indicate what successes this or that employee has achieved in work, on the basis of which he received encouragement. For example: " Awarded in connection with the implementation of the planned task on time with high quality indicators».

In the document, it is important to indicate not only the specific type of encouragement, but also the basis on which the order is issued. The basis may be the presentation of the immediate head of the structural unit, who decided to reward this or that employee for outstanding success, for exceeding the plan or for implementing a particularly important project.

Reward concept

Order on awarding a certificate of honor: sample

An employee can be presented not only to a monetary award, but also as an encouragement to give him a certificate of honor in a solemn atmosphere. This is no less valuable encouragement, stimulating further fruitful work.

The order includes the necessary details of the employer and employee (group of employees). Be sure to indicate the document on the basis of which the order was drawn up. Most often, the basis is a representation endorsed by the immediate supervisor of the employee.

An award presentation is an internal document of an organization that is not mandatory. It is applied in the event that the initiative to encourage comes from the head of the structural unit. The form of such a document is arbitrary.

The order for the award refers to the administrative document on the basis of which payments are made. It is drawn up on unified forms or forms developed and approved by the organization independently are used.

It must be borne in mind that the order must contain not only the details of the employer and the rewarded employee, but also the basis on which the employee was presented to one or another type of encouragement.
